A backup routine that suits a small shop
- 1Name the person responsible
One named person takes the backup, not whoever remembers.
- 2Copy at the end of the day
Use the program's backup command to an external drive, after sales are closed.
- 3Name the file with its date
So you know which copy to restore without opening them one by one.
- 4Move a weekly copy off-site
Home, or cloud storage you trust. Fire and theft take the computer and the drive together.
- 5Test the restore
Every few months, on another computer if possible, and confirm the latest invoices are there.
Where to keep the copy
| Place | Advantage | Drawback |
|---|---|---|
| USB stick | Easy and quick | Easily lost or damaged |
| External disk | Holds many copies | Usually sits beside the computer |
| Cloud storage | Far from the shop | Needs internet and a strong password |
When to take an extra backup
- Before installing a new version of the program.
- Before importing or deleting a lot of data.
- Before replacing or servicing the computer.
- At month end and at the end of the financial year.
