Turn your Excel bookings sheet into a reservations and booking system
An appointment sheet works while one person takes the bookings. Upload the file and Fanann proposes a full booking system: a day and week calendar, services and staff, a status for each appointment and a visit history per client. Your past and upcoming bookings come with it.
When does the Excel file stop being enough?
Two appointments in the same slot
Two people open the file at once and book the same slot, and the clash only shows when both clients arrive.
No picture of the day
Long rows in the order they were typed, not a calendar that shows who is coming in an hour.
The client has no history
To find a client’s last visit or usual service you search through hundreds of rows.
What does each column in your file become?
These are common columns in a file like this, what Fanann reads from them and how they show up in the system.
Becomes a clients module, with each booking linked to its client.
A phone field in one format, used to recognise a returning client.
A services module, a pick list when booking and a most-requested-services report.
A calendar filter so you see each staff member’s schedule.
The basis of the day and week calendar.
Confirmed, cancelled, attended, no-show: filters and counts.
A yes / no field, and from it a list of unpaid bookings.
What does Fanann propose for a file like this?
A proposal you see before the build and can adjust: switch off a module, rename a field, or add what is missing in a sentence.

Five steps to turn your Excel bookings sheet into a reservations and booking system
- 1
Prepare the bookings sheet
One booking per row. Keep the date and time in one format in every row, and spell services and staff names the same way so one service is not read as two.
- 2
Upload it in “Excel to App”
In the Fanann dashboard open “Excel to App” and upload the .xlsx or .csv file, up to 10 MB.
- 3
Review what Fanann read
Check that the appointment column was read as a date and that services and statuses appear as categories with the right values, and look at the number of bookings and clients.
- 4
Adjust the proposed system
Describe how you work: how long each service takes, opening hours, and whether you want clients to book for themselves on a public page.
- 5
Build it and try it with this week’s bookings
After the build open the week calendar and check your upcoming appointments. Then record every new booking in the system alone.
A booking system for a salon with three stylists. The receptionist books and edits, and each stylist sees only her own schedule. Service length depends on the service, and I want to prevent two bookings for the same stylist at the same time.
Plainly: the limits you should know
